1. The Applicant organization agrees to provide a deposit, payable to Camp Imadene, with the application as follows:
    • $500 for groups requiring the use of the Main Building
    • $200 for groups NOT requiring the use of the Main Building

    The deposit is non-refundable and non-transferable. The deposit will be considered:

    1. as part of the total fee paid at the time of the use of the facility.
    2. as a damage deposit from which any extra facility cleaning costs or damage will be assessed, before applying the balance towards fees.

  2. If the cancellation is given 7 days or less prior to the scheduled arrival date, the full cost of Food Services will also be charged to the Guest Group.

  3. Camp Imadene reserves the right to double book our facilities with groups where it is deemed that the activities will not conflict and accommodations and space are available.

  4. When groups consisting of persons under twenty-one years of age use the facility, Island Christian Camping Society rules require that the group include responsible adult chaperones in the ratio of one chaperone to every eight persons under twenty one years of age.

  5. The Applicant agrees that no leader or speaker will teach anything contrary to the Camp Imadene Statement of Faith.

  6. At the conclusion of the use of the Camp Imadene facilities, the Applicant will provide the Camp with an accurate count of the number of persons who attended.

  7. If the organization requesting use of the Camp Imadene facilities will be taking part in sporting activities, then the group should provide a nurse or first aid ticket holder as part of their group. If waterfront activities are planned, a certified lifeguard (bronze cross minimum) should be on the dock during such activities. If swimming is scheduled, a lifeguard is required by B.C.C.A. accreditation standards. The applicant is required to provide their own first aid supplies.

  8. The Applicant will agree to maintain cleanliness and orderliness in all accommodations at Camp Imadene. The rental organization will be required to reimburse Camp Imadene of any damage or unreasonable cleaning required by the actions of the group. It is Camp Imadene’s practice to charge replacement cost for items defaced or damaged. Replacement costs also includes labour costs incurred to repair or replace the damaged item(s). Any willful damage to the Camp Imadene facilities will be the responsibility of the Applicant and will be charged to the Applicant group (such damage is deemed to be other than normal wear and tear).

  9. Camp Imadene’s total ban on noisy activities is from 11:00 p.m. to 7:00 a.m.

  10. The consumption of alcoholic beverages on the Camp Imadene property and smoking in the Camp Imadene buildings is prohibited.

  11. No domestic animals or pets of any kind are permitted on the property.

  12. Numbers of those attending must be confirmed 7 days prior to arrival. This number represents the minimum for which you will be billed. Invoices will be based on those numbers provided and charged accordingly.

  13. The moving or removing of funiture or equipment from any buildings is NOT permitted unless permission has been granted by Camp Imadene. When permission is granted, the applicant agrees to return all items to their original locations.

NOTE: The applicant’s booking will be secured when the Camp office has received the formal application and deposit. Applicant may book for the same period in the following year if the deposit remains with the camp upon payment of the most current invoice.

Policy re: Liability Insurance Coverage of Guest Groups

All guest groups using the Camp Imadene property must provide evidence of liability insurance coverage held by the guest group. This evidence of liability insurance coverage must be submitted to the Camp office two weeks prior to the arrival of the guest group at Camp Imadene.
