JOB DESCRIPTION

JOB SUMMARY

 

The Bookkeeper will have the sole responsibility of payables, receivables, payroll, and recording and maintaining the year-round financial and business operations of the camp, as well as contribute to the general management of the Camp Office. This individual is also responsible for the administration of the sponsorship program, donation processing, and guest group payments.

 

HOURS

The Bookkeeper position is a part-time hourly position, which can be worked remotely and/or on-site.  Camp Imadene is a seasonal operation, hours will vary according to time of year.  October to April is a slower season, requiring 16-20 hours per month with at least one day per month working on-site.  During the busy season of May to September, time will increase up to 30-40 hours per month including at least one day per week working on-site for July and August.


 

REPORTING

 

  1. Report directly to the Executive.  The Executive has overall responsibility for all activities on-site at Camp Imadene.

  2. Maintain regular communication with the Imadene Society Board Treasurer for purposes of reporting and budget consultation.

  3. Provide monthly reports to the Executive and Imadene Society Board Treasurer, or as required.



DETAILS OF RESPONSIBILITIES

 

  1. Ensure there is a proper and accurate accounting of all transactions for Camp Imadene.

  2. Be responsible for all payroll transactions, accounting, and reporting.

  3. Ensure that all vendors are paid in a timely fashion consistent with responsible bookkeeping practices.

  4. Manage all “designated” funds and accounts.

  5. Receive and appropriately receipt all funds received by Camp Imadene as fees or donations.

  6. Prepare and manage cash for the cash box, merchandise float, tuck float, and any other float or cash box needs.

  7. Monitor budget receipts and expenditures, as well as accounts payable.

  8. Report to the Executive the IS financial status as necessary, including specifics requested.

  9. Report to individual staff members the status of their budget areas.

  10.  Prepare year-end documentation for auditors and for submission into the annual report.

  11.  Prepare all required year-end documentation for employees and government submissions. 

  12.  Manage financial reporting for guest group accounts.

  13.  Answer email, correspondence, and telephones, as well as provide office assistance as required.

  14.  Perform office administration duties in support of the summer secretary as necessary.

  15.  Be committed to providing Christian love, biblical care, and support when required.



STATEMENT OF QUALIFICATIONS


 

1. Personal Requirements:

 

  • Reliability, alertness, judgment, tact, and initiative.

  • Desire to work in a team environment.

  • Must provide a Criminal Record Check with vulnerable sector screening

 

2.  Spiritual Requirements:

 

  • A demonstrated faith in Jesus Christ as Savior and Lord is essential for this position.

  • An understanding that the work at Camp Imadene is a mission and not just a job.

  • Demonstrated commitment to a local Christian church.

 

3.  Experience, Training, and Education:

 

  • Basic bookkeeping training and related skills.

  • Knowledgeable in Sage Accounting and Microsoft Office applications.

  • High level of comfort with other computer software useful for the fulfillment of the Bookkeeper duties.

 

4.  Knowledge and Abilities:

 

  • Ability to multi-task in a very busy work environment.

  • Ability to communicate orally and in writing.

  • Ability to develop and provide concise and clear reports in a timely fashion.

  • Ability to set priorities and remain focused and on task.
