JOB DESCRIPTION

JOB SUMMARY

 

The Office Administrator is responsible for the organization and coordination of office operations and procedures in order to ensure organizational effectiveness and efficiency.

 

The Office Administrator will work closely with the Summer Secretary, Bookkeeper, and Executive in the overall coordination of the office at Camp Imadene. This position reports directly to the Executive.  The Executive has overall responsibility for all activities on-site at Camp Imadene.

 

HOURS

 

This is a 4-month full-time position from May 3rd to August 31, 2021, with the potential to extend employment past this end date. Regular office hours Monday-Friday can be expected but hours are required to be flexible during busy periods in coordination with other staff and the Executive.

 

DETAILS OF RESPONSIBILITIES

  1. Daily Tasks

    1. General office communication (phone, email, mail, social media)

    2. Staff/Volunteer organization (meetings, operations, procedures)

    3. Manage relationships with vendors and other stakeholders

    4. General support to visitors, volunteers, and guest groups

    5. “CampBrain” camp database administration

    6. Payments

    7. Registrations/applications of campers/staff

    8. Recordkeeping and paperwork (including personnel files and crim checks)

    9. Other duties related to the operation of Camp Imadene that the Executive requires.

  2. Weekly tasks

    1. Recruitment and communication with volunteers and staff

    2. Monitoring staffing needs through summer 

    3. Monitor and maintain office supplies inventory

    4. Configuration of CampBrain database

    5. Organize and oversee merchandise order and design

    6. Help to manage the process for sponsorship applications

  3. Be committed to providing Christian love, biblical care, and support when required.


SKILLS REQUIRED

 

  • Ability to take initiative, problem-solve, and make decisions within the job scope

  • Proficient with computers and MS Office software

  • An understanding and experience of a fast-moving workplace environment, superior written, and oral communication skills

  • Strong track record of customer service and effective people skills

  • Good understanding of processes, policies, and procedures required for supporting a camp setting

  • Excellent time management and organization skills with strong attention to detail

  • Ability to work well under pressure and multi-task without supervision

  • Ability to work independently as well as collaboratively in a positive team environment

  • Must provide a Criminal Record Check with vulnerable sector screening

    4. Ability to set priorities and remain focused and on task.
